Cleric Standard Operating Procedure (SOP)
As a Cleric of RaidGuild, you are the steward of client relationships and the orchestrator of successful Raids, seeing each project through from inception to completion. This detailed guide will walk you through every stage of the Cleric process using the Dungeon Master tool, with clear instructions on managing tasks, communication, payments, and final reporting.
Introduction: The Role of the Cleric
Clerics are pivotal figures within the Guild, acting as Account Managers who maintain client communications, assemble Raid Parties, and ensure smooth project operations. Your responsibilities include assessing client needs, guiding projects through scoping, securing payments, and coordinating team efforts. With the Dungeon Master tool, you will manage project statuses and logs, making it simple to keep all Raiders on the same page.
Step 1: Handling New Client Submissions
- Monitor New Submissions: In the RaidGuild Discord, watch the #client-submissions channel. New clients post their project requests here.
- Claim Projects: When a project interests you, claim it by reacting to the message with the RaidGuild crossed swords emoji. This action marks the project as "claimed," showing your intent to lead it and helping prevent overlap with other Clerics.
- Coordinate with Fellow Clerics: Chat with other Clerics if multiple submissions come in. Ensure a fair distribution of work, so no one is overburdened.
Dungeon Master Status: At this stage, submissions will not yet be in Dungeon Master. Once you confirm that you’ll be leading the project after consulting the client, create a new entry for the Raid in Dungeon Master and mark it as New.
Step 2: Initial Client Communication
- Initial Contact: Use the client’s submission details to introduce yourself and Raid Guild. Clarify that as their assigned Cleric, you’ll be guiding them through the process.
- Needs Assessment: Discuss the client’s vision, requirements, timeline, and budget to evaluate their project’s fit with the Guild’s capabilities.
- Set Up a Consultation: Schedule a formal consultation meeting to discuss project specifics in-depth and explain any consultation fees.
Dungeon Master Status: After initial contact and client alignment, update the project status in Dungeon Master to Consulting.
Step 3: Conducting the Consultation Meeting
Prepare a checklist to guide the consultation:
- Problem Description: Understand the core issue the client needs to resolve.
- Proposed Solution: If the client has ideas, explore these together to align expectations.
- Required Skill Sets: Determine the specific skills needed for this project (e.g., design, development, marketing).
- Budget and Timeline: Aim to clarify as many financial and scheduling details as possible.
Consultation Fee: Clients must pay a 500 DAI consultation fee to Raid Guild, which covers the initial assessment work. This fee goes to compensating the Clerics involved. Collect this payment through Dungeon Master, which will automatically track fee receipt.
Dungeon Master Status: Update the project to Consultation Paid once the fee is received.
Step 4: Post-Consultation Actions
- Share Project at Raider Round-Up: Attend the weekly Raider Round-up meeting (Tuesdays, 1 pm EDT / 10 am PST / 6 pm UTC) to provide a project overview. Announce the required roles and whether the Raid will proceed.
- Mark as Recruiting: If the project moves forward, update its status in Dungeon Master to Recruiting.
- Post Recruitment Notice: Share the project’s specifications in #who-is-available on Discord. Include role requirements, time commitment, budget, and other essential details.
Dungeon Master Status: Ensure the project is updated to Recruiting in Dungeon Master and list the roles needed for transparency.
Step 5: Setting Up Communication Channels
- Move Communications to Public Channels: Transition all discussions to designated public channels within Raid Guild’s Discord.
- Onboard the Client: Assist the client in joining the Raid Guild server and brief them on communication channels and procedures.
- Post Project Details: In the internal Raid channel, post an outline of the project specs for easy reference by all Raiders.
Dungeon Master Status: At this stage, ensure that internal and client-facing channels in Dungeon Master reflect the accurate details and expectations of the project.
Step 6: Assembling the Raid Team
- Recruit Team Members: Confirm that all essential roles are filled by reaching out through #who-is-available and tagging specific Raiders with necessary skills (e.g., Archer for design or Paladin for back-end).
- Schedule a Follow-up Meeting: Arrange a follow-up with the client to introduce the Raid Party and solidify the scope.
- Draft a Scoping Proposal: Prepare a high-level proposal outlining the project’s problem, possible solutions, required steps, and timelines.
Escrow Setup: Guide the client to set up escrow for scoping or a design sprint, securing funds in advance. Work with the client to deposit an initial payment in Dungeon Master’s escrow system.
Dungeon Master Status: Mark the Raid as Ready to Begin in Dungeon Master once the team is in place, and escrow is confirmed.
Step 7: Creating a Formal Proposal
After completing the scoping phase, collaborate with the Raid Party to create a detailed proposal. This document should follow the standard Raid Guild template, including:
- Problem Space: Clearly define the challenge the project addresses.
- Methodology: Outline how the Raid Party will approach and solve the problem.
- Milestones and Budget: Provide a breakdown of work phases, deliverables, and payment associated with each milestone.
Proposal Submission: Send the proposal to the client along with instructions on how to deposit the necessary funds into Dungeon Master’s escrow system.
Dungeon Master Status: Update the project status to Proposal Sent.
Step 8: Beginning the Work Phase
- Confirm Funds: Begin work only after confirming funds in escrow for the initial milestones.
- Client Declines: If the client decides not to proceed, note their reasoning and update Dungeon Master to mark the Raid as Lost.
Dungeon Master Status: Update the project to In Progress once work begins.
Step 9: Managing the Work Phase
- Provide Updates: Regularly log progress in Dungeon Master to keep everyone on track.
- Client Satisfaction: Act as the main point of contact for client inquiries and feedback.
- Milestone Communication: Upon reaching each milestone, update the client, and coordinate fund release through Dungeon Master’s escrow features.
Dungeon Master Status: Move the project through milestones in Dungeon Master, marking each as Milestone Complete once client approval and payment are confirmed.
Step 10: Project Completion
- Final Confirmation: Verify that the client is satisfied with the completed work.
- Final Payment Release: Guide the client through releasing the final escrowed payment.
- Distribute Payments: Use Dungeon Master to facilitate payment distribution among all Raiders involved.
Tribute to War Chest: Dedicate 10% of the Raid’s revenue to the Raid Guild War Chest. This tribute can be paid in wxDAI, WETH, or other whitelisted tokens, sent directly to the DAO Treasury (0x181e...63ac). Log the transaction hash in #did-a-thing for tracking.
Dungeon Master Status: Mark the project as Shipped to signify completion. Archive project channels on Discord using the /to-valhalla command.
Step 11: Documentation & Retrospective
- Participate in Retrospective: Join the retrospective session led by a Monk to reflect on the project’s successes and areas for improvement.
- Document Case Study: Summarize key learnings in the Guild’s case study format.
- Submit for Portfolio: Post the completed case study in the #case-studies channel to showcase in Raid Guild’s portfolio.
This detailed Cleric SOP provides a clear roadmap to follow through every phase of a Raid, ensuring consistent client satisfaction, team coordination, and adherence to Guild standards. Following these steps with precision will set you up for successful Raids and contribute to Raid Guild’s legendary reputation.
Structuring Raid Spoils
For fair compensation, here’s a recommended payout structure:
- 10% – War Chest Treasury (mandatory)
- 5% – Hunter (Business Development)
- 10% – Cleric (Account Manager)
- 15% – Monk (Project Manager)
- 60% – Project Team (roles such as Wizard, Paladin, Archer, etc.)
This is a flexible framework, and Raid payouts may vary. However, we require that 10% of the Raid’s revenue be tributed to the War Chest upon completion.
With these guidelines, you’re well-prepared to lead your Raid Party to victory.
